About included AI allowances. Included AI allowances reflect today's AI processing costs. If those costs change materially, we may adjust standard pricing and revise included allowances on reasonable notice. Your Founding Member rate-lock protects your subscription price; it does not fix the AI allowance against underlying cost changes.

A note on "AI questions." One AI question is one thing a member asks the assistant, or one AI action the system runs for you. The monthly allowance doubles as a per-community cost cap, and no single member can use more than 100 AI questions a day. If a plan's monthly allowance is reached, the AI features pause until the next month while search, viewing, downloads, and sharing keep working - no surprise bill.

How HOA Library compares

HOA Library is a focused records + search + AI tool. It does less than a full management suite on purpose - and costs far less - while doing more than generic file storage. Here is an honest, sourced comparison so you can see exactly where we fit.

Competitor pricing as publicly listed as of July 2026; verify current pricing with each vendor. Suite per-unit prices are shown at an assumed HOA size of ~958 homes (the size of our pilot community) so the math is comparable; your community's number will differ. Sources are listed at the bottom of this section. We describe each product by its scope, not to disparage it - a full management suite doing more than a records archive is a difference of purpose, not a flaw.
Focused records / board tools (closest comparables)
ProductWhat it isPublished price (2026)Records + search + AI?
HOA Library Focused HOA-owned records archive: OCR, full-text search, member records + governance, AI Ask, transcription $29 - $99 / moflat per HOA, any size · $99 at ~958 homes Yes - OCR of scans into full-text search, cited AI Ask, transcription
BoardSpace Board portal + document / meeting / minutes organizer for HOA / condo / nonprofit boards $69 / mo (<75 units)
$99 / mo (76-150 units)
flat per org; >150 units on request
Document + board focus, but no OCR-of-scans, no exhaustive image-PDF full-text search, and no AI Ask advertised

BoardSpace is the closest structural match - a flat-fee, per-organization documents-and-board tool. HOA Library's top plan lands at the same $99 while adding OCR of scanned image PDFs, exhaustive full-text search, cited AI Ask, and transcription.

Full management suites (documents are one module - the "second platform" set)
ProductWhat it isPrice (2026)At ~958 homes
TownSq Full community-engagement + management suite (the incumbent at our pilot community, run by the HOA management company) $270 (Pro) / $435 (Advanced) / mosize-banded; 900+ units band $270 - $435 / mo2.7x - 4.4x HOA Library's $99
PayHOA Full self-managed HOA suite (accounting, dues, communications, documents) $54 entry, then $0.55 / unit ($275 min)banded, then per-unit ~$527 / mo958 x $0.55 · ~5.3x $99
Condo Control Full condo / HOA management suite ~$1.50 - $4 / unit / mo ($49 basic)per-unit + custom minimum ~$1,400 - $3,800 / mo14x - 39x $99
Buildium / AppFolio / CINC Property / HOA management suites (documents are a folder module) ~$1.40 - $4 / unit / mo, with minimumsper-unit + minimum ~$1,300 - $3,800 / moroughly 13x - 39x $99

These are whole platforms - accounting, dues, violations, e-voting, more. That is genuinely more than HOA Library does. At a small community their flat entry tiers can be cheaper than us; at a large community like our ~958-home pilot, their per-unit pricing runs many times HOA Library's flat $99. We are the records + search + AI layer you run alongside whatever suite you already use, not a replacement for it.

Generic storage (the "just use a shared drive" alternative)
ProductWhat it isPrice (2026)What it structurally can't do
Google Workspace Cloud storage + docs + email $8 - $28 / user / moper seat, annual No OCR of scans into full-text search, no HOA roles / governance / permanence, no AI Ask over your records
Dropbox Business Cloud file storage $18 - $30 / user / moper seat, 3-user minimum No OCR-searchable scans, no HOA roles, no AI Ask, no governed record integrity
Microsoft SharePoint / M365 Cloud storage + intranet $6 - $22 / user / moper seat, bundled OCR off by default and needs admin setup; no HOA roles / AI Ask / permanence

Generic storage is priced per person, so a board of five or more already costs more than HOA Library's flat fee - and, per each vendor's own documentation, none of them turns a photo of a page into searchable text, enforces HOA roles and record integrity, or answers a plain-English question from your records. We do those things on purpose; that is the whole point of a records tool versus a shared drive.
