It can pay for itself in avoided records-request costs alone. State HOA-records laws vary: some bar charging the requesting homeowner for staff time at all (only a small per-page copying fee is allowed); others permit a modest hourly charge, but typically cap it far below what it actually costs a management company to locate, review, and compile records — which can run $100-200/hour in staff and manager time. That gap comes out of the association's own budget, and a single larger request can still run into the thousands, straight from community reserves. A searchable self-serve archive turns most of those requests into a member typing a question, instead of a labor bill the HOA has to eat.

A note on "AI questions." The monthly "AI questions" allowance covers member-initiated Ask / Q&A and voice questions - one AI question is one thing a member asks the assistant. The automatic AI summary your documents get is part of processing on every plan and is not counted against that allowance. Document-scanning (OCR) has its own separate, generous monthly capacity (shown above) rather than sharing the AI-questions allowance, so a big batch of scans never reduces how many questions members can ask that month. The AI-questions allowance doubles as a per-community cost cap, and no single member can use more than 100 AI questions a day. If a plan's monthly allowance is reached, member Q&A pauses until the next month while search, viewing, downloads, sharing, and automatic summaries of new uploads keep working - no surprise bill.

These are whole platforms - accounting, dues, violations, e-voting, more. That is genuinely more than HOA Library does. At a small community TownSq's and PayHOA's flat entry tiers can be close to or cheaper than us; by the time a community reaches a few hundred homes, their per-unit and size-banded pricing already runs past HOA Library's flat $99, and by 1,000 homes it runs many times higher. Condo Control, Buildium, AppFolio, and CINC no longer publish self-serve community-association pricing, so we can't run that same math for them, but their per-unit model follows the same pattern. We are the records + search + AI layer you run alongside whatever suite you already use, not a replacement for it.

Generic storage is priced per person, so a board of five or more already costs more than HOA Library's flat fee - and, per each vendor's own documentation, none of them automatically OCRs uploads into a searchable archive, enforces HOA roles and record integrity, or answers a plain-English question from your records (Dropbox and Google Drive offer some manual or partial image-text search, but neither is an automatic, governed, org-wide search index). We do those things on purpose; that is the whole point of a records tool versus a shared drive.
